The Role
The role is primarily focused on supporting the Legal and Compliance Department in the processing of legal invoices and accruals through the department's e-billing system. This individual is also expected to provide efficient and proactive administrative support for the team. The role requires excellent communication skills, a 'team first' mentality, attention to detail, tact, determination, a willingness to learn, and the ability to handle details that are time-sensitive, highly confidential and critical in nature.
Key Responsibilities:
Screen invoices in a timely manner to ensure accuracy of billing information, for example checking invoice numbers, amounts and accounting codes; approve or reject invoices as appropriate.Supervise legal team approval status of invoices and generate approval reminder notifications.Modify invoice approval routes, add new users and create new matters in the system at the instruction of the legal team; coordinate with law firms on every new matter that is opened.Investigate and respond to law firm inquiries on status of invoice payments.Coordinate accrual schedule and deliverables with the Finance Department.Run routine reports and review for accuracy.Provide general administrative support, for example may assist with meeting scheduling and the preparation of expense reports.
Experience/Qualifications:
3+ years' experience in a billing environment or business administration required; experience with corporate legal software (Legal Tracker) a plus.Excellent written and verbal communication in English.Proven ability to work with highly sensitive, confidential data.Thinks critically and exercises sound judgment; focuses on results with a sense of urgency.Completes work tasks efficiently and effectively, adjusts quickly to multiple demands, shifting priorities, ambiguity and rapid change.

Excellent communication skills - ability to convey thoughts clearly and succinctly and to communicate complex information in a clear and organized way; ability to compose general correspondence, memos and other documents that require little or no editing by manager.Great attention to detail and able to cross check outputs with other data sources.Strong attention to detail and organizational skills, including time management and the ability to shift priorities and work under pressure.Able to work both independently and as a member of a team by interacting and collaborating with members of other teams across the organization.Demonstrates flexibility with last-minute changes in commitments, deadlines, and meetings attendance.Able to handle large volumes of data while ensuring data accuracy.
