Provide administrative support to the Senior Vice President, Total Rewards & HR Operations, VP Executive Compensation, and VP HR Strategic Initiatives - Technology & User Experience including setting up meetings, processing invoices, expense reports, planning business travel, office moves, office supplies, team events and presentations, etc. Assist with the Compensation Committee process and scheduling of high priority meetings with Board members or Sr. Leadership as needed.
Contribute to the Compensation Committee process by editing, loading and printing the Compensation Committee books. Coordinate documents for EO's calendar appointments. Distribution of Year End ELT statements, NOG's and other year-end Compensation Committee documents. Meet with executive assistants of the CEO, CFO and EVP of HR to schedule and coordinate high priority meetings throughout the calendar year.
Assistant to SVP, Global Total Rewards & HR Operations, Executive Compensation Department , and VP HR Strategic Initiatives - Technology & User Experience Edit, Print, Distribute and Upload ELC's Compensation Committee Book onto Boardvantage for Board of Directors Meetings Coordinate to schedule high priority meetings with Executive Management and BOD for the calendar year in preparation of the Compensation Committee and Stock Plan Sub-committee Board Meetings Contribute to Executive Management's Year End process by editing, formatting and preparing performance review documents and folders for Executive Officers Assist in Notice of Equity Award process for Senior Management Complete Onboarding process for our departments New Hires/International Transfer Plan and Coordinate trips for domestic/international business travel for both internal and external conferences, experienced with Visa process Plan and Coordinate Annual HR Total Rewards Conference and Year End Thank You Event and Volunteer Events for Compensation & Equity teams Coordinate with AP to process invoices for managers Process Monthly Expense Reports and order supplies for office teammates Publish weekly vacation calendar for compensation and equity teams.
Qualifications
Position requires 3-5 years experience in a corporate and/or private equity environment providing administrative support for a senior level executive. Exemplary professionalism and discretion when handling matters of a confidential nature. Excellent communication, writing and organizational skills. Strong computer skills are essential. Expertise on Outlook and the MS-Office product suite is a necessity, including Word, Excel and PowerPoint. Ability to work well in a collaborative environment and interact effectively with all levels of management and employees. Results oriented with the ability to complete assignments in a timely manner. Ability to handle multiple priorities and make clear and timely decisions. Ability to work with minimal supervision, set goals, create and implement action plans and monitor progress towards goals. Highly developed customer service skills.
The anticipated hourly range for this position is $31.25 to $49.25. Exact hourly rate depends on several
factors such as experience, skills, education, and budget. Hourly range may vary based on
geographic location. In addition to hourly rate, this position may be eligible for an annual
discretionary bonus.
