The Administrative Assistant IIcompiles and analyzes information for inclusion in reports orpresentation materials, prepares charts, graphs, or tables. Possessesstrong communication, interpersonal, administrative skills and a broadunderstanding of company operations, procedures, and personnel. Thisposition is headquartered in Verona, WI and has supportingresponsibilities for our Operation Centers in Windsor, Platteville,Monroe, Stoughton, and Mineral Point. What you will do * Developsand/or maintains moderately complex computer applications, includingdocuments, forms, spreadsheets, charts, graphics, and presentations, anddatabases. Establishes and maintains supervisor and/or business groupfiling system for business records. May provide back-up administrativesupport to other business groups or company executives. * Correspondsand maintains positive and effective relationships with internalpersonnel, outside agencies, vendors, and other organizations. Handles avariety of information requests, and gives and takes messages forsupervisor and business group. * Utilizing appropriate judgment, opens,reviews, and routes mail; handles and composes administrativecorrespondence, such as emails, letters, memos, reports, and summaries,including some of a sensitive nature. Transcribes meeting notes,business documentation, and handwritten information, and proofsdocuments. Processes confidential information and documents, and handlesconfidential matters with discretion. * Coordinates business travelarrangements, including itinerary, registration, transportation, andaccommodations. Arranges and coordinates internal and external meetings,including meeting materials, facility, equipment, and technologyarrangements. * Performs special projects as assigned, includingcoordinating, preparing and assisting with reports and summaryinformation, including operating reports and strategic plans, assistingwith budgets, and the research and compilation of information. *Assists supervisor and business group to achieve company financial goalsby scrutinizing expenditures for errors and/or identifying avenues toreduce expenses. Processes invoices, vouchers, requisitions, and expensereports for supervisor and business group. May monitor business groupperformance against budgets and work with financial analysts to reviewbusiness group expenditures and financial outlooks.
