PRINCIPAL OBJECTIVE:
This position will provide diversified administrative support for the VP of Product Development, VP of Creative, and VP Global Artistry and Consumer Experience. General Administrative support includes calendar, communications (e-mail, documents, presentations), travel arrangements, invoice processing and monthly expense reports. Position also supports with meeting setup, presentations, product forecasting and special projects.
ACCOUNTABILITIES:
• Manage calendars by accepting and re-scheduling meetings and conference calls, collecting agenda topics as requested for standing team meetings, and tracking departmental vacation calendars.
• Prepare and processes monthly expense reports.
• Process invoices through the SAP and Oracle system, as requested, following PO compliance procedures; manage estimate/invoice tracker and communicate to team outstanding invoices; compile and track all department reclass and market rebills, communicating with the Finance Manager, department heads and affiliate markets to ensure charges are processed properly and in a timely fashion.
• Manage product closet including budget tracking, inventory ordering and organization, prepare gift bags as requested by VPs and enforcement of product request process.
• Coordinate travel arrangements including itineraries, agendas, and visas.
• Order office supplies and handle other office related procurement activities as needed.
• Maintain departmental distribution lists and coordinate the on-boarding of new hires including the set-up of system access, computer, email, phone, office space in conjunction with the hiring manager.
• Partner with PD, Artistry and Education to facilitate shipping needs to domestic and international parties.
• Support in administrative planning and coordinating of major meetings (i.e., PRO Artist Summit, Innovation and Brand Strategy meetings) including guest list maintenance, hotel, and transportation reservations, supplies / giftbags, catering, transportation of materials, reserving conference rooms and working with Office Services for room setups, audio-visual needs, security, etc.
• Collaborate with other Global Bobbi Brown Administrative Assistants, as necessary.
• Proactively handle any routine matters.
• Ad hoc general administrative duties.
Qualifications
QUALIFICATIONS:
• College Degree and/or 3 years' experience in a related environment.
• Strong computer skills: MS Outlook, Word, Excel, PowerPoint. Experience with Slack and MS Teams.
• Organizational and planning skills, with the ability to multi-task, understand priorities.
• Excellent follow-through skills and attention to detail.
• Ability to exercise professional discretion, sound judgment and decision-making abilities.
• Ability to interact professionally and interface with all levels within the organization.
• Independent self-starter who must be comfortable working in a fast-paced environment.
• Display professionalism, diplomacy, and discretion when handling matters of a confidential nature.
The anticipated hourly range for this position is $31.25 to $49.25. Exact hourly rate depends on several factors such as experience, skills, education, and budget. Hourly range may vary based on geographic location. In addition to hourly rate, this position may be eligible for an annual discretionary bonus.
