Description We are searching for a diligent Administrative Assistant to work on-site at our office location in Monterey, California. This role is primarily involved in handling front office duties, answering phones, and maintaining professional phone etiquette. The selected candidate will also have the opportunity to work within the mental health industry, screening clients who are seeking our services.
Responsibilities:
• Manage the front office, ensuring smooth daily operations and providing superior customer service to clients and colleagues alike
• Handle inbound and outbound calls, demonstrating professional phone etiquette at all times
• Use various software including G-Suite, Zoom, and InSync EHR software to perform administrative tasks
• Ensure all data entry tasks are performed accurately and promptly
• Respond to email correspondence in a timely and professional manner
• Schedule appointments, organizing the company calendar to ensure efficient use of time
• Utilize Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word to complete administrative tasks
• Contribute to the team's understanding of mental health, offering assistance and support to clients seeking our services
• Ensure all customer service interactions are handled with sensitivity, respect, and professionalism
• Maintain a high level of confidentiality in line with HIPAA regulations. Requirements • Minimum of 2 years of experience in an Administrative Assistant role or similar
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Familiarity with Google Suite
• Experience in handling both inbound and outbound calls
• Excellent customer service skills
• Demonstrated ability in data entry tasks
• Ability to handle email correspondence effectively
• Proven experience in scheduling appointments
• High attention to detail and organizational skills
• Exceptional communication and interpersonal abilities
• Ability to multitask and prioritize tasks efficiently
• Willingness to learn and adapt in a fast-paced environment.
