Northrop Grumman Defense Systems has an opening for an Administrative Assistant 3 to support our team of qualified, diverse individuals. This position will be located in Warner Robins, GA. The successful applicant will function under minimal supervision, provide a full spectrum of administrative support and general secretarial services for the supported individuals and organizations. Duties and tasks are varied and complex, including but not limited to: Ability to work with minimal supervision while exercising good judgment, demonstrating discretion relative to proprietary information, flexibility, agility, and able to prioritize effectively multiple tasks with competing deadlines, and providing excellent follow-through. Must possess excellent written and verbal communication skills. Strong interpersonal skills in order to maintain contact and partner with all levels of management, and internal stakeholders to include other administrative assistants, Engineering community, Human Resources, Finance, Training, Facilities, and Senior level management at various levels. Ability to protect and maintain confidentiality The successful candidate will be a vital member of the Program team and perform in an administrative leadership role, which by nature of the position involves high-level contacts and exposure to sensitive program, new business, personnel and technical information necessitating considerable use of tact, diplomacy, discretion, and judgment Communicate with executive, administrative, customer and management personnel to gather or convey relevant information Ability to utilize Microsoft Office Tools such as Outlook, Word, Excel, PowerPoint to execute duties as defined in the role responsibilities Microsoft Teams One Drive Demonstrated verbal, interpersonal and written communication skills Maintain Director's calendar and coordinate critical customer and management meetings; resolving calendar conflicts with other administrators Coordinate internal and external briefings/presentations, management meetings and customer interface and customer visits Coordinate and make travel arrangements Complete and process expense reports Order and manage office supplies Assist with general meeting scheduling, ordering food, and set-up Collect Inputs, compile and proof and tailor presentation packages Maintaining currency on company policies and procedures related to time keeping, expense reporting, travel processes, etc. Event planning of team-building / moral events for a team of 400+ people Responsible for new team-member onboarding administration (adding team members to shared database accesses and coordinating attendance in program onboarding/training session) Act as POC for office machinery maintenance , bulletin boards up to date, monthly and weekly site email distribution, Sharepoint permission requests, conference room booking and deconflicting, communicate with Facilities Teams, Cleaning Contractor, building Security team and off-site IT POC for building needs / maintenance / requests. The successful candidate must be proactive, well-organized, detail-oriented, dependable, and the ability to multitask and prioritize with minimal supervision. They must be a team player, possess effective verbal and written communication skills, and demonstrate excellent interpersonal skills, working across all levels of management and employees. The position requires a high degree of professionalism, presence, flexibility, diplomacy, judgment, discretion, and the ability to be assertive while exercising tact. This person must have the ability to filter high traffic correspondences and contacts and prioritize items for the Director to address. The position requires strict confidentiality while performing a wide variety of sensitive administrative and support tasks.
Qualifications:
Basic Qualifications: High school diploma and a minimum of 6 years education and/or other related experience in supporting managers, directors, or executive leadership. Will also accept a Bachelors Degree in related field and 2 years of related experience in supporting managers, directors, or executive leadership. Demonstrated proficiency and comfort in utilizing Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint, and SharePoint) Preferred Qualifications: Demonstrated proficiency in business and travel expense system (Concur, Edge, or similar) with complex, frequently changing travel Successful experience working collaboratively as a team player with the ability to interface effectively at all levels in the organization Demonstrated ability to be collaborative, proactive, self-motivated, well-organized, detail oriented, and assertive as necessary and able to execute projects and tasks independently Experience coordinating travel and prepare expense reports for program personnel Demonstrated ability to initiate, obtain and proofread information for reports and special assignments. Salary Range: $45,800 - $76,300
The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.
Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
