The administrative assistant will be responsible for day-to-day support for all Finance teams, including Accounting, Financial Systems, Tax and Financial Reporting & Analysis. The ideal candidate is a team player who is highly organized, and detail-oriented with strong communication skills. The position requires initiative, flexibility, and ability to manage multiple tasks and priorities at one time.
Leadership Support
Compose, prepare, proofread, organize, and maintain confidential files, reports, and other complex documents including presentations, organizational charts, spreadsheets, databases, and recordsPrepare and organize pre-meeting and post-meeting materials and reportsCoordinate travel arrangements including reservations, itineraries, and expense reports as neededOrganize group meetings including location, room setup, materials, and foodMaintain a variety of weekly/monthly/quarterly reports
Project Coordination
Manage time effectively to meet deadlines and ensure availability for additional projectsCreate and edit Power Point presentations
Department Support
Oversee department events including spot recognition processes, birthday and anniversary celebrations, and holiday activitiesServe as an information resource regarding routine questions as well as critical policies and proceduresEnsure office, maintenance and janitorial supplies are well maintained for departmentRequest and coordinate with facility teams on office repairs, updates and moves
Requirements:
High school diploma or GED equivalent3+ years of administrative support experience with increasing responsibilityProficiency with Microsoft Office applications to include Word, Excel, PowerPoint and OutlookExcellent verbal and written communication skillsProficiency in building PowerPoint decks, previous experience requiredAbility to organize & prioritize; attention to detailAbility to handle multiple tasks simultaneously in a fast-paced work environment, work well and remain composed in stressful situations
