Position will support the Senior Vice President/General Manager, VP Marketing, Estee Lauder Travel Retail Worldwide and Vice President/General Manager, Clinique/Dr Jart/Origins/Lab Series with day-to-day administrative processes and various aspects of department support.
Prepare and manage SVP/GM, Marketing VP, VP/GM daily calendar, reservations, phone, etc. Prepare and manage SVP/GM, Marketing VP, VP/GM travel schedules, including flights, transportation and agendas. Prepare and manage SVP/GM, Marketing VP's expense reports - organization, preparation, reporting and submitting reports monthly. Provide the needed administrative support which may include, but not limited to preparing agendas and issue meeting minutes when required. Gather and organize meeting materials in advance. Reserve conference rooms and work with Office Services for room-setups, audio-visual needs, security, transporting of materials, catering, etc. Prepare and organize itineraries for incoming visitors/retailers. Provide temporary administrative support when needed to visiting executives. Receive external visitors and ensure they are properly escorted at all times. Responsible for the efficient and timely processing and approval of vendor invoices (receive, process and payment). Coordinate department meetings. Maintain product closet for the department following company policy, perform regular audits and keep all due communication. Ability to brainstorm ideas for team building events and organize, coordinate and implement them Capture Purchase Orders for the departments. Offer and coordinate the region's orders for marketing support items (ie. Sales cycle gifts, event props etc). Support Senior Vice President and Marketing team with miscellaneous requirements as time permits. Assist with projects as needed. These include reports, spreadsheets, presentations, etc. Handle independent projects and other duties as assigned. Manage department trackers, including vacation charts, contact lists, etc. Maintain departments' SharePoint site. Provide backup to the Executive Assistant of the President of Travel Retail.
Qualifications
Position requires 3+ years of related experience. Ability to multi-task in a fast-paced environment and prioritize a high volume of work. Ability to work in complex global organizations with multiple teams and with people of diverse backgrounds in different time zones. Excellent interpersonal and customer service skills. Must have professional written and verbal communication skills. Extraordinary attention to detail. Required to have strong PC skills including Microsoft Office 365, Teams, Planner, Forms, One Note, One Drive, SharePoint, Word, Excel, PowerPoint, KeyNote, Outlook Calendar skills. Bachelors degree preferred Ability to keep information in a confidential manner. Ability to build collaborative relationships across all departments.
The anticipated hourly range for this position is $31.25 to $49.25. Exact hourly rate depends on several
factors such as experience, skills, education, and budget. Hourly range may vary based on
geographic location. In addition to hourly rate, this position may be eligible for an annual
discretionary bonus.
