About Admin Assistant II, Bobbi Brown, Bumble and bumble, & Origins, North America

  ACCOUNTABILITIES:

  • Handle all administrative tasks and provide diversified administrative assistance to the Vice President, GM of NA

  • Support Vice President, Account Management and Executive Director, Marketing with expense reconciliation and calendar management

  • Typing general correspondence, internal memorandum, reports, etc.

  • Answering phones, taking detailed messages, screening calls, taking action and re-directing callers as needed

  • Managing and scheduling calendar

  • Monitoring email for time sensitive items

  • Sorting and reviewing mail on a daily basis

  • Arranging travel and creating itineraries

  • Managing and preparing expenses through CONCUR

  • Organizing business documents in preparation for meetings

  • Manage presentations and new employee orientations including agendas, booking of hotels, flights and restaurants, lunches, conference rooms, etc.

  • Schedule seasonal retailer presentation meetings. Provide materials needed for attendees. Book and set up room including presentation materials, meeting folders, catering, table cloths, flowers and gifts.

  • Manage sales meeting coordination including budget records. Negotiate and book hotels, restaurant, catering and transportation

  • Assist in PowerPoint presentation formatting

  • Manage employee charm award program

  • Coordinate large staff meetings and conference calls

  • Prepare and manage meeting card expenses through American Express @ work

  • Maintain and update retailer and field contact lists

  • Process departmental invoices

  • Coordinate conference rooms (booking, setting up for meetings, etc)

  • Order product and maintain product closet (inventory, merchandise/stock)

  • Manage filing system and storage closet

  • Manage and maintain departmental equipment

  • Order office supplies

  • Arrange messengers as needed

  • Provide assistance to other members of the Brand as needed

  • Support projects and presentations as needed

  Qualifications

  • Position requires 3+ years of administrative experience in a corporate environment

  • Excellent organizational, communication and computer skills required

  • Individual must have good writing skills and ability to exercise professional discretion and judgment

  • Computer skills: Microsoft Word, Excel and PowerPoint

  The anticipated hourly range for this position is $31.25 to $49.25. Exact hourly rate depends on several

  factors such as experience, skills, education, and budget. Hourly range may vary based on

  geographic location. In addition to hourly rate, this position may be eligible for an annual

  discretionary bonus.
