FUNCTION:
Under the supervision of Director(s)/Manager(s), performs clerical, administrative, and related duties

DUTIES:
Responsible for fundamental administrative/clerical duties requiring analytical ability, independent judgment and problem-solving skillsReview priorities with management as necessaryResponsible for mail distribution and collection, phone coverage, copying, scanning, and basic expense reports and/or routine financial disbursementsRequires basic knowledge of Company policies and practicesApply knowledge and understanding of standard operating procedures for the organization and Division, as well as, specialized terminology commensurate with the positionInteract with internal and external clientsTranscribe, record, assemble, track, verify, and maintain accuracy of data/electronic records and spreadsheetsCoordinate regular travel arrangements, basic domestic and internationalWrite or answer routine correspondence as directed; i.e., form letters with mail mergeMaintain daily calendars, i.e., meeting scheduling (internal and external meetings), teleconferencing, video conferencing, accepting on behalf of managementEnsure accuracy (i.e., proofreading, grammar)Maintain databases, general and department or Division specific applicationsRegularly perform independent basic research via basic Internet and Intranet searches used to prepare analysis, presentations, and reportsUse EZ Buy (order departmental supplies); COMET, prepare routine disbursements, follow up on invoicesOccasionally travel in the positionMultitask dailySupport the HR hiring process in filling open positions on the teamAssist with special projects and other duties as assigned by the department as neededPerform other work as assigned, including work within your classification throughout the bargaining unitAssist in HtR and Workday tasks as needed
EDUCATION:
High School Diploma or equivalent
EXPERIENCE:
Core skills in the following programs:
Word processing software (e.g., Microsoft Word)Email/calendar/scheduling software (e.g., Microsoft Outlook)Presentation software (e.g., Microsoft PowerPoint)Spreadsheet software (e.g., Microsoft Excel)Minimum of 1-3 years administrative experience or equivalent
ADDITIONAL JOB FEATURES:
In order to move to the next grade level, based on management's assessment, the successful incumbent must meet the following:
Demonstrate competencies and experience in all aspects of the current job; since date of most recent hireFor grade 16 (Team Support II), have at least 3 years our Company's administrative experience in the grade 14 (Team Support I) since date of most recent hire, or for grade 18 (Team Support III), have at least 5 years our Company's administrative experience in the grade 16 (Team Support II); since date of most recent hireDemonstrate competencies and experiences in the requirements for the next higher step; andPass the applicable skills/aptitude assessments

U.S. Hybrid Work Model
Effective September 5, 2023, employees in office-based positions in the U.S. will be working a Hybrid work consisting of three total days on-site per week, generally Tuesday, Wednesday and either Monday or Thursday, although the specific days may vary by site or organization, with Friday designated as a remote-working day, unless business critical tasks require an on-site presence. This Hybrid work model does not apply to, and daily in-person attendance is required for, field-based positions; facility-based, manufacturing-based, or research-based positions where the work to be performed is located at a Company site; positions covered by a collective-bargaining agreement (unless the agreement provides for hybrid work); or any other position for which the Company has determined the job requirements cannot be reasonably met working remotely.
