Primary Responsibilities:
Supervises assigned employees and activities for the efficient administration of medical office activities Coordinates a broad range of functions including patient billing, registration, and scheduling, electronic medical record (EMR), budget, etc. Provides administrative support services and other related duties. Independently coordinates process improvement initiatives, the rollout of organizational initiatives, recruiting efforts, and disciplinary action Acts as a contributor to budget planning and plays an active role in providing key metric updates to leadership
Technical Skills:
Directs and supervises assigned personnel including performance evaluations, scheduling, orientation, and training. Makes recommendations on staffing levels, employee hires transfers, promotions, salary changes, discipline, terminations, and other similar actions. Resolves grievances and other personnel problems within position responsibilities Processes payroll for assigned staff following standard procedures. Ensures time off and adjustments to time are accurately recorded in the payroll system. Resolve discrepancies as required Oversees the point of service collections and overdue balance processes. Ensure the standard process is followed. Resolves discrepancies within position responsibilities Ensures staff follows up on referral orders (scheduled orders) and appropriate internal authorizations are obtained Monitors and maintains daily deposit process following standard procedure Monitors a variety of processes/reports such as next available appointment, no show, encounter form control, referrals, recalls, registration audit report, monitors patient calls for feedback, etc. Resolve discrepancies within position responsibility Achieves and retains super-user status on current system software to best manage provider's appointment schedules. Creates and maintains Provider Schedules for all providers following standard protocol and following provider contractual obligations as required. Provides training and support to all members of the site/department on the procedures and current software Maintains existing provider schedules, changes, and updates as needed. Communicates changes to appropriate parties as assigned. Monitors Provider Schedules for accuracy and ensures they adhere to the standards/policies for appointment schedules. Follows up with team leaders/managers as appropriate Monitor PROMs (Patient Reported Outcomes)

Provides effective direction, guidance, and leadership over the administrative staff for effective teamwork and motivation, and fosters the effective integration of efforts with clinic-wide initiatives Lead regular department meetings of staff and/or including providers in partnership with physician dyad or appropriate leadership to assure consistent communication on key strategies and business items Build and maintain relationships with all disciplines throughout the organization based on mutual respect and trust
Business Acumen Skills:
Participates in the development and recommendation of the operating and capital budgets for the areas managed Manages activities to ensure financial goals are met Monitors expenditures for compliance with approved budget Resolves discrepancies In conjunction with the Manager, design and implement initiatives that optimize financial and operational performance to achieve a high level of quality patient care, patient and provider satisfaction, and employee and provider engagement Demonstrate general understanding of the Corporate Business Model and how the Practice contributes to the bottom line of the organization. Provide Practice Manager/Site Administrator and other leadership with regular summarized updates on key performance indicators including monthly review of reporting tools with the articulation of key operational drivers of success or variance Planning and Decision Making Analyze problems/issues systematically and logically, and is resourceful in recommending solutions Formulate, develop and implement project plans as needed Coordinates the assignment of tasks and helps resolve technical and operational problems. Evaluates the impact of solutions to ensure goals are achieved Plans, implements, and evaluates the assigned staffing needs on a daily basis to adequately support patient care Assigns staff based upon patient needs, practice volume, staff qualification, and department policy Ensures that the assigned area complies with established policies, quality assurance programs, safety, and infection control policies and procedures Ensures adequate equipment and supplies for the assigned area Ensures compliance with all health and safety regulations and requirements Enhances professional growth and development through educational programs, seminars, etc. Performs similar or related duties as required or directed Regular, reliable, and predictable attendance is required Position does not qualify for Point of Sale Collections bonus

Preferred Qualifications:
