WERO-BAS-- Program Coordinator II

MassDEP seeks applicants for the position of Program Coordinator II (PC II) within the Bureau of Administrative Services (BAS) Service Center in the Western Regional Office (WERO) in Springfield. WERO serves 106 cities & towns situated in Western Massachusetts including east of Quabbin Reservoir to the New York State line.
The PC II will be responsible for overseeing the Service Center and responding to Public Record requests for WERO. The Service Center is open to the public Monday-Friday from 8:45 AM to 5:00 PM and the expectation is that the selected candidate would be available to work in the office a minimum of three days per week and cover five days per week for vacations with the other PC. Initially, the candidate will work full time in office until fully trained.
Duties for this position include, but are not limited to, the following:
• Serve as one of WERO's Front Desk Coordinators, responsible for customer service and technical assistance to the public and agency staff by responding to inquires via phone, e-mail or in-person.
• Serve as WERO's Public Records Response and File Review Coordinator
• Sort and scan incoming mail and distribute to the programs.
• Prepare letters received from programs for mailing
• Maintain regional personnel files
• Collaborate with hiring manager to assist with hiring packages.
• Support regional operation and program needs and conduct special projects
• Conduct other administrative duties as assigned.
Preferred Qualifications at Hire:
• General knowledge of professional office operations
• Knowledge of public records response
• Knowledge and experience using computer programs (Microsoft Word, Excel, Outlook)
• Ability to multitask and prioritize tasks.
• Ability to communicate clearly both verbally and in writing
• Ability to organize, compile information and maintain accurate records.
• Ability to establish and maintain effective working relationships with coworkers and the public.
• Ability to exercise sound judgement and deal tactfully with others.
• Ability to meet objectives and established timelines.
• Ability to follow instructions, guidelines, and procedures.
• Strong computer and organizational skills.
• Time management skills.

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the-required experience.
II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.
III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
