The primary purpose of the Program Coordinator position is to manage program and project activities; engage in strategic planning; and perform complex administrative and reporting duties requiring independent judgment and complex analysis to gather facts and determine appropriate solutions generally based on past experience and departmental practice. Responsible for coordinating activities and performing tasks that impact achievement of the goals of the division of Education Training. The incumbent will impact departmental efficiency and productivity and may support for multiple director level leaders.
Key Functions
Program Coordination - 75% effort· Provides professional organization and support for Director and Education Coordinators which includes participation in strategic planning/ assignments and follow- through to ensure assignments, initiatives, and programs are completed in a timely manner to accomplish goals
· Coordinate, organize, implement, and support logistics for curriculum planning and development, conferences, committees, and meetings organized by the Director and Education Coordinators
location, attendees, relevant materials, equipment, support, catering, etc· Utilizes strong interpersonal skills to communicate with a variety of individuals, groups, etc. Interfaces with faculty, Directors, and staff, to provide new and updated program information and/or policies
· Responsible for the Human Resource activities for the Department of Education Development Innovation with a specific focus on workforce and grant program development to include preparation of Position Consideration forms, ePAF initiation and routing, completing job requisitions, composing and modifying position descriptions and other HR related functions as assigned.
· Supports the onboarding of classified employees, including office and equipment setups
· Support the onboarding of learners, including access and equipment setups
· Ensures department compliance with institutional mandatory trainings, goal setting, performance evaluations, institutional/division reports
· Prepares documents as needed for meeting, special events, and special projects. Handles other correspondence as needed including general maintenance and management of office files
· Coordinates travel; ensures travel needs are met within constraints of the travel budget and institutional guidelines; submits travel reimbursements; reminds staff of conference registration deadlines to take advantage of discounts
· Responsible for the coordination of departmental calendars and other office operations as assigned
Financial Operations - 25% effort· Manage, review, and track all electronic personnel action forms (ePAF) for Department of Education Development Innovation with a specific focus on workforce and grants to ensure required documentation is submitted and all forms are complete and received
· Maintain registration websites using online event management software including entering/modifying registration data, producing reports, and tuition reconciliation
· Uses complex software systems and financial tools to update and retrieve financial information and data
· Monitors and confirms workforce and grant programs STAT Samples monthly.
· Assist in troubleshooting discrepancies and dialogues with leaders to resolve discrepancies
· Follows through to support accuracy of records
· Functions as workforce and grant programs department Kronos Timekeeper
· Other duties as assigned.
Education
Required: Bachelor's degree in Business Administration or related field.
Education : Master's degree.
Experience
Required: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
Preferred: Experience with Texas Workforce Solutions, Workforce Programs, Grant management
