The Executive Administrative support position integrates the internal activities of the C- Suite Executive (60%) with external support needs (40%). Individual performs a wide variety of complex C- Suite Executive support requiring initiative, financial experience and skills, and strong attention to detail.
The Executive Assistant provides executive-level support for the C- Suite Leader, assuming ownership of advanced and highly specialized duties that require independent initiative and judgment. The person will have expertise in scheduling, administrative functions, record management, travel coordination, handling department purchase orders and invoices, and engaging in highly confidential issues and matters of sensitive nature. Additionally, the individual will independently manage multiple tasks and projects with competing priorities and deadlines.
• Oversees heavy calendar management, requiring interaction with internal and external executives, other Executive Admins, and external vendors to coordinate a variety of complex executive meetings.
• Coordinates Executive travel, requiring close partnership with the aviation team, transportation and all other areas involved to ensure planning with the highest level of detail and efficiency.
• Provides support to Executive/Chief of Staff (e.g., email monitoring, event planning and other needed responsibilities).
• Aides in scheduling department events, conference facilities, weekly/monthly department meetings; plans and negotiates food and site locations, as necessary. This includes coordinating audio/visual needs.
• Determines proper course of action for incoming requests, calls and correspondence, directing to appropriate person or operational area.
• Manages multiple projects simultaneously, following through on issues in a timely manner.
• Receives and processes financial and other transactions for internal and external parties.
• Works on personal and special projects as assigned

Required Qualifications
Five or more years of experience supporting a C-Suite level executive in a large and complex organization.Demonstrated ability to work independently and effectively in a fast-paced environment, think on your feet, remain calm under pressure, and anticipate needs in advance.Professional presence with proven ability to work collaboratively and build relationships with others both in and outside the organization and represent the Office of CEO with best-in-class standards.Demonstrated ability to travel up 30% to key events and activities to ensure continuity of workStrong attention to detail with ability to manage many details related to coordinating calendars and schedules, follow-up requests, travel-related planning, etc.Proficient in Microsoft applications (Teams, PowerPoint, Word, Excel, Outlook).Emotional intelligence and ability to manage self around others and in difficult situations, always remaining in control and professional.Highly organized and able to balance multiple initiatives, manage multiple or competing priorities, and prioritize workloads.Forward-thinking with ability to be proactive and expect the unexpected.Demonstrated ability to always retain confidentialityExcellent verbal and written communication skillThis role is located in Louisville, KY or Washington, DC.
