Description
Robert Half anticipating the need for a dedicated Executive Assistant to support our a Portland office's executive team. The individual in this role will bring a strong background in executive support and is able to balance multiple projects at once.
Job Responsibilities:
Organizing and scheduling appointments with the executives.
Making travel arrangements for the executives.
Preparing reports and maintaining appropriate filing systems.
Screening phone calls, redirecting them when appropriate and taking down messages.
Making sure that all correspondences are answered in due time.
Taking minutes during meetings.
Aiding the executives in terms of preparation for board meetings.
Prioritizing daily tasks and responsibilities to ensure smooth workflow.
Managing and maintaining an effective filing system, ensuring that filing is completed on a daily basis.
Responsible for the maintenance of office supplies inventory.
Requirements
Previous experience as an executive assistant or a similar role.
Proficient in MS Office.
In-depth understanding of office management and daily operations.
Excellent verbal and written communications skills.
Discretion and confidentiality.
High School degree; additional qualification as a personal assistant would be an advantage.
