Position Summary
The Engagement Team Event Manager will report to the Manager of Engagement and will be responsible for the support of the organization-wide engagement programs for 4000+ employees. A successful person in this role will take an inclusive approach, collaborate with and coordinate across a wide variety of roles in an organization, and be a creative problem-solver.
Employee Engagement is a strategic priority for MassDOT HR, and employee events are a key component at creating impactful, well-rounded programs that foster engagement. The Event Manager needs to set and maintain a high bar for our employee events moving forward and handle all aspects of event design, planning and implementation. This means a successful person in this role will be able to manage multiple events with concurrent timelines, and be very detail oriented, independent, pro-active, and organized. It is also critical for this person to be able to communicate effectively at all levels of a large organization.
The Events Manager is responsible for managing and delivering events from start to finish, including all aspects of events such as: conception and proposal of an event to meet program objectives, event design and planning, direct coordination with event hosts, facilitators, volunteers, guest speakers, sponsors, and participants (both internal and external and including at the most senior levels of the organization), event budget and spending, promotion and marketing of the event, on-the-ground decision making to make sure the event runs smoothly regardless of last minutes changes, and working directly with senior leadership at both MassDOT, MBTA, and other organizations to ensure all stakeholder needs are met by and throughout the course of the event.
The Events Manager will report to the Engagement Manager and will be responsible for creating compelling, inclusive, and engaging employee events to support various programs and initiatives, and drive towards the goal of positioning MassDOT as an employer of choice in an incredibly competitive talent market. The Events Manager will be responsible for all aspects of events including both oversight as well as delivery; the Events Manager may work independently on events or be responsible for the oversight of others producing/delivering the event.
The Event Manager must have the ability to identify and investigate new ideas relevant to MassDOT's strategic goals, crafting and communicating a creative vision for employee events at MassDOT. Therefore, a successful event manager will be comfortable and show skill in leading dialogues, making recommendations to people in various roles and levels, and being a good listener.
This role will contribute to new and existing event rosters such as: Mentorship program events, Performance Recognition events, Onboarding program events, Internship program events, Alumni program events and more.
Duties and Responsibilities
Manage all Engagement events. Design, coordinate, and implement all event activities. Manage all details of events such as location, branding, catering, speakers, technology, invite list, promotional material etc. Liaise with event stakeholders to identify their goals and needs for each event, and to ensure customer satisfaction. Develop and implement an annual event calendar for the organization. Partner with HR Communications to promote and publicize events. Standardize and document event management procedures. Work directly with MassDOT's Leadership to collaborate on targeted events, relating to Division engagement. Investigate and secure event locations and coordinate space set up and take down at each event. Propose budgets and manage spending/costs for each event; partner with Divisions to collaborate on expenses where appropriate. Design events with a virtual component in mind, to enable hybrid attendance and engagement; coordinate hybrid arrangements during each event including technology needs, accommodations support, virtual liaisons, and inclusion across event activities. Take a continuous improvement approach: Continually propose ideas to improve Engagement services and events. Calculate the ROI of events and report on event and program KPIs. Work with partners across the agency, including ODCR, to ensure events are inclusive and accommodations are executed as needed. Gain familiarity with the Engagement Programs in HR in various stages of progress; get a thorough understanding of the goals of each project, the activities to be undertaken, project timelines, and the steps needed to move through the project stages. Gain familiarity with processes and programs across multiple departments, related to or impacting engagement initiatives. Participate in team and program meetings. Proactively identify and promote ideas for events (i.e., when an event could be useful for a program's purpose/objectives). Advise others on best practices for developing workshops, focus groups, collaboration, ideation, and other engagement sessions where event standards and best practices could be applied.
Location and Travel:
This is a hybrid role, allowing for telework; however, given the nature of the role it is expected the Events Manager to be on site multiple days per week, most weeks of the year. The Events Manager must also be able to travel independently state-wide, in order to plan and carry out events at any location across Massachusetts.
Preferred Qualifications
A successful background in event planning (for example, corporate events planner, wedding planner, retreat coordinator, etc.) Experience designing, planning, coordinating, and executing events from start to finish Strong creative vision for events and how to maximize engagement through events. Ability to work in a fast paced, deadline-oriented environment, with multiple competing priorities/projects. Skill in applying creative problem solving or design-thinking to collaborative project work. Inclusive and universal-design approach to event design and planning. Strong communication skills (both verbal and written) and interpersonal skills. Solution-oriented attitude with strong coordination and organizational skills; an exhibited ability to coordinate with a variety of different stakeholders and teams that help pull an event together. Excellent time management and communication skills Ability to work independently in a hybrid environment. Ability to develop ideas from scratch and develop concepts into tactical, implementable steps. Ability to think creatively and inclusively about how to create engaging experiences for MassDOT employees. Event Planning knowledge in virtual and in-person events. Strong presentation skills. Systemic perspective and approach to problem-solving and strong attention to detail. Ability to travel independently to state-wide MassDOT locations for events, meetings, and presentations.
