  Job ID359173 LocationTwin Cities Job FamilyCampus Operations Full/Part TimeFull-Time Regular/TemporaryRegular Job Code8424ZC Employee ClassCivil Service About the Job Description of Position The Elevator Program Manager is responsible for facilitating and monitoring the work of the University of Minnesota's service provider, ensuring that they are operating within the terms of the Vertical Transportation Maintenance Services (VTMS) contract. The position will interact with the VTMS service provider regularly, as well as with various departments within the university. Serves as liaison between operations staff, customers and the elevator service providers to coordinate preventive maintenance, repairs, and communication surrounding elevator work. Responsibilities Program Oversight (40%) * Ensure the Twin Cities vertical transportation is managed in compliance with contract terms, industry servicing standards and state regulations. * Ensure required inspections are performed; provide follow-up for non-compliance issues; certify that documentation is accurate and accessible. * Monitor warranties on new installations and modernizations. * Serve as campus point of contact to identify and prioritize capital needs. * Facilitate monthly meetings with service provider and or internal customers to discuss existing performance issues and continuous improvements in operations. * Relationship management and oversight of external service provider. * Maintain a database that identifies all vertical transportation equipment, along with its age, condition, usage patterns and maintenance records. * Provide oversight of delivery, document retention and payments for all vertical transportation services. * Development of quantitative and qualitative metrics for measuring vendor performance and provide key highlights, trends, risks and opportunities. * Intervene, analyze, manage and resolve business conflicts between the University and the service provider. Field Support (30%) * Perform job site audits and quality control activities for vertical transportation throughout the Twin Cities campus and outreach centers as identified. * Provide oversight of field operations. * Monitor field work for PM's and repairs as well as mechanics arrival/departure times. * Make site visits to review project work in progress. Project Management (15%) * Partner with University project delivery teams to perform technical review of elevator construction documents/sites relative to University Standards and codes. * Assist in clarifying project goals, tracking progress, attending project meetings and resolving issues in coordination with project manager. * Ensure the university receives proper documentation prior to project close out. * Use computer software, including management reporting systems (i.e. Tririga, FCA, SKIRE, MS Project), spreadsheets and databases to plan, monitor and report on projects. * Ensure that project deadlines are met and efficient progress is achieved. * Monitor project schedules and deliverables to avoid cost overruns. Customer Relations (15%) * Assure that all work performed is documented and interface with customers for service work which may interrupt services. * Build positive customer relations through contacts with University students, staff and faculty in coordinating elevator program activities. * Provide regular updates on project activity and status to key stakeholders. Work Environment Work is performed in an office setting as well as out in the field. This position will be exposed to hazardous conditions where hearing and visual protection may be required. Qualifications Minimum Qualifications BA/BS in a related field and five years of experience in maintenance, vendor or project management. Equivalent combination of education and/or experience totaling nine years may be substituted. Qualified Elevator Inspector (QEI) certification preferred. Knowledge, Skills and Abilities * Knowledge of elevator and escalator preventive maintenan e principles and practices. * Knowledge of elevator and escalator systems and equipment. * Previous experience with elevator and escalator maintenance, inspections, or other industrial maintenance services. * FM building maintenance experience with large complexes. * Experience in managing vendor based contract services. * Previous management experience required. * Physically able to inspect equipment rooms, elevator shafts, pits and ride elevator car-tops. * Ability to operate a computerized maintenance management system (CMMS) and document/report retention system. * Knowledge and skill using a personal computer and experience using Microsoft Office suite (Word & Excel) for word processing and spreadsheets; experience using databases. * Excellent verbal and written communication skills. * Strong planning and organizational skills. * Ability to work as a team player in a fast-paced, deadline driven environment. * Ability to gather and analyze information and communicate findings in written reports. * Proven negotiation skills, with the ability to make and drive quick, sound decisions. * Communicate regularly and maintain positive relationship with key stakeholders. * Ability to demonstrate excellent customer service, project management and conflict resolution skills. * Strong vendor relations skills and ability to partner with vendors to develop practical solutions. * Ability to prioritize work, effectively manage a large number of issues at one time and interact effectively with management.
