Description
Employee performs expense and disbursement functions, clerical, and some administrative work relating to the accounts payable/purchasing system. Work involves processing, distribution and maintenance of invoices and purchase orders; checking balances and setting up, processing and maintaining financial forms and records.
Examples of Duties
Organizes and processes Accounts Payable; creates and maintains vendor information on computer terminal system; verifies and ensures proper backup is present; verifies and processes vendor invoices; traces missing invoices and payments; compiles data for reports; logs expenditures; performs posting to general ledger; due diligence assuring that the responsible budget officer disbursements are within budget policy and procedures.
Initiate purchase orders which requires maintenance of requisitions and timely process of invoices. Ordering various requisition request and payment using a University Credit Card. Prepare monthly expense report.
Assist Disbursements and Expenses Coordinator with Form 1099 preparation, NYS Unclaimed Funds and various expense related reporting.
Communicates verbally or in writing with vendors and University personnel.
Closes and analyzes fiscal year posting and processes accordingly; prepares accrued payable list on a seasonal basis.
Other duties as assigned.

Have the ability to exercise and apply sound judgment and decision making skills as well as the ability to maintain integrity and confidentiality of data.
Ability to engage in long range and short range financial planning.
Ability to balance priorities to accomplish assigned tasks within the required time frame and to be able to shift quickly between several tasks without loss of continuity.
Possesses a solid financial, analytical, business and problem-solving skills and a technical accounting background to establish and maintain accounting principles, practices and procedures.
Competency to insure proper accounting of University transactions and to assure the protection of assets through proper existence and adherence to adequate internal controls.
Has advanced knowledge of Microsoft Office software (Specifically, Word, Excel and Outlook) to implement, develop, and maintain computer based accounting and other business operations. Self-motivated to stay current with emerging office technologies.
Ability to effectively interpret and explain detailed accounting reports and able to express ideas effectively in oral and written form. Ability to type, compose and edit correspondence, memos, letters, and reports; revise schedules, forms, reports, records, and other information; research statistical information for use in reports.
Able to effectively communicate general information to University constituency, however, some situations may require the ability to relay complex or adverse information with tact and diplomacy.
Ability to accept effective supervision, assignments, change and correction.
Engage in meaningful and intentional professional development appropriate for areas of responsibility.
Carry out all responsibilities and objectives in a professional manner.

Typical Qualifications
Associate Degree preferred or High School graduate.
Three (3) years’ work experience in accounts payable or related work experience. Possess excellent administrative, computer, communication and organizational skills. Have advanced knowledge of all applications of the Microsoft Office Package, including Word, Excel, and Outlook. The ability to successfully complete a Level 1 criminal background check.
