Grade 5 (Hourly)Position Description:This position will report to the Associate Vice President for UofL Health Advancement but will provide support to a team of fundraisers and related staff, as well as members of the board of the UofL Health Foundation. They will work with minimal supervision and are responsible for office management, planning, problem solving and performing special projects as assigned. They must be able to function independently and have excellent organizational skills. They also must be able to work well under pressure and deal effectively with all levels within and outside of the organization.Duties & ResponsibilitiesOrganize calendars, establish appointment priorities, schedule meetings, make travel and related arrangements, and ensures that material for meetings are prepared and available. This will include helping to maintain a department calendar of events, grants, and reporting deadlines. Note commitments made and ensure follow-up and/or implementation.Manage SharePoint site and email service account.Receive and screen telephone calls, visitors, and mail.Composes routine correspondence and internal/external communication for VP’s approval/signature.Provide support to gift officers, including helping with expense reports.Manage onboarding of new team members. Serve as a resource for solving problems, answering questions, resolving complaints and concerns, and giving direction regarding policies and procedures.Serve as the office manager. Maintain supplies and equipment.Responsible for general clerical support functions which may include supervision of other executive assistants.Maintain departmental records. Maintain confidentiality of information in the department according to established procedures.Anticipate problems and needs and follow through to an appropriate resolution.
