The Docket Administrator is responsible for various daily processes, ensuring accuracy, and efficiently supporting Issuer Operations and Client Management Services to complete issuer shareholder meetings.
Key Job Functions/ResponsibilitiesPrepare source data for entry by opening, extracting, and sorting mailVerify and log receipt of data, obtain missing data, and establish prioritiesComplete various duties on company systems including programs on Microsoft Access, Excel, and internal systemsExtrapolate and input large quantities of data, alpha and numeric (in combination) from source materials, in a timely manner in a unique computer system for output data and resolve processing issuesPerform quality control of information, auditing of output documentation for grammar, and comprehension and comparison to source materialsEvaluate the validity of the documents to be entered, recognizing, and reporting any deficiencies to Client ManagersReceive dockets, verify material and job-related data and sign off the Work OrdersEnsure Canadian processing is advised of any updatesVerify that material received and to be mailed matches the search card.Liaise with Finance and Receiving Departments as requiredAssist Client Management to coordinate timely and accurate mailings as it relates to theshareholder meetings and interim mailingsCollaborate with team members to ensure daily goals are completedProtect organization's value by keeping information confidentialOther responsibilities as assignedOvertime is required during the Proxy season due to processing volumesBasic Skill Level Requirements
Education:High School Diploma or equivalentCollege Diploma in Business Administration is an assetTools:Windows environmentAll necessary advanced technological tools are providedExperience: 1-2 years of hands-on experience in Data Entry, and Quality AssuranceExposure to brokerage, proxy, or financial business operations is preferredKnowledge of proxy rules, regulations, and processing is an assetFrench is an assetSkills:Strong written and verbal communication skillsIntermediate proficiency for Word and ExcelAble to work in a cross-functional environmentAble to communicate effectively with fellow associates, other departments, management, and outside vendors, as requiredGood attention to detail, thoroughness, and data entry skills on keyboard (minimum 50/60 keystrokes per minute)Recruitment Process
