Position Summary
The Lead Concierge is responsible for actively supporting successful box office operations and working to coordinate a hospitable, smooth and efficient experience for guests. This role works closely with the Box Office Manager to support and handle box office administrative functions, ticketing, and guest correspondence, as well as communicating with efficiency, accuracy and hospitality.
Minimum Qualifications
Minimum 1-year prior experience in a concierge, box office, or customer service role in a hospitality setting preferred and/or equivalent relevant experience
Exceptional hospitality and guest service skills
Polished presentation
Proficient typing and computer skills
Professional, hospitable phone etiquette
Aptitude in resolving issues and creating problem solving with a customer-focused orientation
Effective communication skills both written and verbal
Ability to work both independently and in a team environment
Ability to work a flexible schedule including days, nights, weekends, and holidays
Must be fluently literate in English including ability to read, write, and communicate, conduct business related mathematics and analyze data
Must be able to sit for extended periods of time; stand and walk regularly; occasionally lifting and carrying up to 35 pounds when needed
Overview of Responsibilities
Actively participate in daily box office operations and administrative tasks associated with guest relations
Assist in coordination of box office tasks including placement of ushers and box office staff
Presence during seating on the floor to help address issues as needed
Handle email, phone and in-person responses for accuracy, completion, and approved hospitality format
Greet all guests and answer phones in a warm and professional manner, offering them a welcoming environment where their needs are anticipated.
Handle in-person ticket sales during box office hours
Troubleshoot and support guest purchases and transactions
Serve as the point of reference for guests who need assistance or information
Assist Box Office Manager in completing the walk-up ticket sales and waitlist sales reports
Notify ticket holders of changes and/or cancellations
CW Loyalty Program -- Support Vinofile spendings and points reconciliation
Support inventory of City Winery merchandise/ retail
Create “Show Log” excel files for all newly booked shows and events
Fill out and maintain concert expense reports on a daily basis
Support Box Office Manager with daily duties, reports, customer service
Contact 3rd party ticketing companies weekly with new show links / information
Help troubleshoot any issues with ticketing and loyalty program platforms
Respond to escalated customer questions / concerns / complaints
Adding guests to comp list that are submitted to concierge
Maintain a neat and tidy Box Office
Approve ticket returns or refunds as applicable
Note guest ADA requests/VIP’s or other special arrangements in Show Log
Close out and reconcile daytime box office transactions at close of shift
All other reasonably assigned duties, tasks, projects, implementations, as per business need
