Estimated Length: 14 months M-F, 8:00-5:00 RequirementsSummary: The successful candidate will provide computer and database support including assisting with development and maintenance of data tracking systems. Candidates may be asked to perform other assignments and/or administrative functions in support of the Center.General duties: • developing and maintaining databases / tracking systems, e.g., tracking the materials received from outside agencies or tracking bureau leave requests • performing data entry operations and data quality control • extracting, analyzing, and summarizing database information • organizing and maintaining electronic (and paper) files • formatting documents in Microsoft Word, PowerPoint, and Excel • assisting with tracking proposed legislative bills and regulations • establishing web-based meetings and conference calls • printing, scanning, and photocopying • other administrative functions including onboarding new staff members and organizing physical space to accommodate new staff (or to restructure the current layout,) assisting with planning, scheduling, and conducting large meetings and events, monitoring shared email accounts and drafting professional responses, answering phones, referring calls, and answering inquiries, maintaining executive calendars, ordering supplies, making travel arrangements and providing assistance with processing travel reimbursement requests.Each task is subject to strict deadlines and candidate must have the ability to produce required assignments thoroughly and on time. The successful candidate should be reliable, dependable, punctual, highly self-motivated, detail-oriented and be able to function efficiently and effectively in a fast-paced work environment.Minimum qualifications include a High School Diploma (or equivalent); one (1) year minimum experience working in an office setting; excellent working knowledge of Microsoft Office applications (specifically Word, Excel, PowerPoint, and Outlook;) the ability to handle multiple, shifting priorities; strong organizational and communication skills (written and verbal); ability to conduct online searches efficiently and thoroughly; and the ability to design, maintain, and work with electronic databases and systems.Preferred qualifications include a Bachelor’s Degree or higher; proficiency in Microsoft Access (data entry and data extraction through query), experience with healthcare administration and policies, experience working in a customer service-related field, experience with bulk emailing or mail merges, familiarity with the NYS Grants Gateway and the NYS Statewide Financial System, and prior experience working in a New York State agency environment, e.g. Client, with an awareness of government agency policies and procedures.
