  Qualifications: Bachelor’s degree in a field related to the business and operational needs of a nonprofit organization. Minimum four years of experience is preferred. Must have experience in the supervision of staff in the workplace. Demonstrate competent written and oral communication skills. Competency in necessary computer programs. Knowledge and understanding of the Army’s mission, values, and priorities. Skills in managing social service programs. Experience in grant writing and fundraising is preferred. Have a driver’s license/ insurance and meet organizational requirements for the use of a company vehicle.

  Job Description: The Business Administrator functions as middle management in the local corps and has responsibility for its daily operations. The four primary areas of responsibility are 1) people management and contact for employment and human resources in conjunction with DHQ HR), 2) program (social service), 3) property (facility management), and 4) public relations (donor relations/fundraising/grant writing).

  Job Objective: Provide support to the officers and oversight to employees in carrying out the mission, vision, and purpose of the Vancouver corps. Seasonal responsibilities of the Business Administrator include the overall management of the seasonal Red Kettle seasonal Campaign. The Business Administrator will manage the recruiting efforts of Kettle employees, deliver services to the community, and assist in the implementation of seasonal programs.

  Personnel Administrator

  Liaison with Divisional Human Resources, as needed, to provide supervision and direction to direct report employees.

  Manage and support certain assigned positions.

  Ensure that all employee evaluations are done in a timely manner.

  Screen and schedule job interviews for new hires.

  Maintain and update job descriptions in coordination with HR.

  Serve as an employee liaison and advocate.

  Evaluate and make recommendations for workplace improvements or changes.

  Exercise employee discipline in collaboration with the officers as the administrators.

  Ensure that all staff are trained and supported appropriately.

  Serve as DHQ safety liaison and primary contact.

  Make sure the safety IIP – Injury & Illness Program is implemented and followed.

  Ensure that employee files are maintained and accessible.

  Conduct staff meetings in collaboration with the corps officers.

  Program (social services)

  Provide supervision and direction on matters related to the organization’s program and services.

  Write grants for direct services.

  Manage grants and contracts according to demand and as required.

  Serve as the department head for social services.

  Work with director of family services to maintain policies and procedures.

  Participate in the annual budget planning process.

  Consult with the divisional social services department regularly.

  Property (facility management)

  Provide oversight for general property needs.

  Understand and follow preferences and priorities of the officers regarding property matters and upkeep.

  Work with DHQ property department to ensure priorities are met.

  Maintain a vendor contact list and keep it available for the officers and key staff.

  Manage infrastructure needs of the buildings and campus.

  Development - Public Relations (donor relations/fundraising)

  Seek out funding sources for local program needs.

  Build and maintain community contacts for community relations.

  Keep regular contact with government, nonprofit, business, and private funding sources.

  Collaborate with the local officers in organizing any special fundraising and/or outreach work.

  Share program knowledge, skills, and expertise with others in the community to advance services to those in need.

  Maintain media contacts for the local area.

  Coordinate and collaborate with Divisional Development representatives in all related areas, including fund-raising, public relations, and related initiatives.

  Other General Duties

  Advisory Board

  Support the Officers in all advisory board activities.

  Participate in board recruitment, planning, and development.

  Provide staff representation to the board.

  Coordinate and collaborate with divisional headquarters on items and communications related to Advisory Board.

  Seasonal Duties

  Assist the officers in collection of money/goods and the effective delivery of services to the community.

  Work with the officers and staff to secure a building or process for the most effective distribution of food and toys.

  Provide coordination and supervision as needed for food and toy programs.

  Collaborate with the officers, executive assistant, and kettle coordinator in conducting an effective red kettle campaign.

  Serve as the primary contact to secure loaner vehicles for kettles.

  Arrange for a rental truck to transport food and toys.

  Assist in coordinating the efforts to recruit and onboard seasonal staff for Christmas programs and Kettles.

  Conduct Kettle orientation sessions.

  Manage the collection of I9s and other new hire paperwork for seasonal and kettle employees upon orientation.

  Assist with entering employee data into the Kettle program.

  Schedule seasonal kettle employees accordingly and submit their timesheets to payroll department for processing.

  Enter income into the kettle program.

  Run reports from the kettle program as requested.

  Physical Capabilities

  Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead.

  Ability to operate a complex multi-faceted telephone system.

  Ability to operate a desktop and/or laptop computer.

  Ability to lift up to 30 lbs.

  Ability to access and produce information from a computer.

  Ability to understand oral and written information.

  Ability to walk, sit, stand, and bend intermittently and/or continuously.

  Ability to exercise good hand eye coordination (using hand to hand, hand to finger, hand to object).

  Ability to hear and speak clearly.

  Ability to see clearly both up close and at a distance.

  Ability to work independently with minimal supervision.

  Health Insurance: Low bi-weekly premiums ($34.62) for employee only coverage, Kaiser HMO for those residing in a Kaiser service area, Anthem EPO/PPO is available for those residing outside of a Kaiser service area. Voluntary +1 and +family coverage at additional cost. Delta Dental DHMO and DPPO dental insurance offered starting at $2.31 bi-weekly cost. Employees are covered by an employer paid life insurance policy. Voluntary supplemental life, short-term and long-term disability plans are available.

  Retirement Plans: Employer-funded Money Purchase Pension Plan (Defined Contribution Plan) 50% vested at 5 years eligible service time, employee funded voluntary 403(b) options

  Parental Leave: Benefit will be one week (5 business days) of paid leave at the employee’s normal rate of pay for births, adoptions and foster placements.

  Sick Leave: 12 days annually accruing from day one, eligible for use after 3 months’ service time.

  Paid Vacation: 2 weeks annually accruing from day one, for non-exempt positions. 4 weeks annually accruing from day one, for exempt positions. Accrued vacation eligible for use after 6 months’ service time.

  Paid Holidays: 13 designated holidays + 1 floating holiday per year
