Job Description
The Associate Director, Operations is an integral role within the Publicis Collective team, responsible for monitoring and building internal operational processes throughout the account. The Associate Director, Operations will also be responsible for monitoring and enhancing a reporting tool used heavily throughout the account. Data integrity is of upmost importance, so a keen eye for detail and forward thinking are key attributes required for this position.
Role Objectives:
The Associate Director, Client Operations will be part of a growing Client Operations team on a well-known client. This position has tremendous learning potential and provides the opportunity to work on a high-energy, highly visible account.
The Associate Director is responsible for training and developing individuals in the use of appropriate media systems and relative processes in Tools & Systems or Invoice Reconciliation while pursuing company and client goals. This includes the ability to work on high profile client business while successfully owning tasks related to system set-ups, data QAs or facilitating the processing of vendor invoices based on media agency investment purchases in a timely manner. They are masters in the use of current media systems and have complete understanding of overall processes, policies, and procedures relative to the agency tools and systems or vendor invoice reconciliation. This individual has experience and proven success in this area to qualify for this position.
Work hand-in-hand with Director on team roles and responsibilities, and prioritizing key projects across the team
Manage Supervisor and Sr. Associates’ workload and ensuring all tasks are completed within required timelines
Lead Supervisor and Sr. Associates’ career development via teaching tasks and coaching skills
Proactively solve problems and improve efficiencies as needed
Maintain positive relationships with agency contacts, system contacts, ReSources and vendors
Lead and steward key processes that involve multiple agency teams; ensure all teams are trained on the systems accurately to maintain data consistency
Expected to periodically check emails to respond to urgent issues after close of business
Review work (as necessary) in progress by Supervisor/ Sr. Associates as issues arise to help guide to a resolution or escalate issues as needed
Identify and surface issues related to Media Systems or ReSources process and staff and help with resolution
Act as the point of contact for the internal brand teams for all Tools & Systems related questions to ensure consistency and accuracy across the brands, but also clients across the Collective agency
Owner of accuracy of inputs into proprietary Operation System, ensuring all systems are accurately set-up for internal and external reporting needs
Maintain and provide reporting to team and managers on a regular basis as well as internal Agency teams, like Finance and client media teams
Attend Agency system trainings and meetings (i.e. MediaOcean)
Participate in system enhancement testing or training
Support Director as needed with various contacts (Finance/Client Operations/Media/Systems/Vendors) on special requests or projects as needed
Connect with Analytics, Strategy and Investment peers on account-specific requests
Oversee invoice clearing process for Pfizer
May handle high-profile or sensitive client reconciliation
Guide media contacts through Reconciliation process and expectations
Leads escalation to media contacts as needed to successfully meet reconciliation deadline
Act as primary contact with vendors for reporting/statements and payment status issues, including contacting Treasury at ReSources for payment information
Qualifications
4+ years Client Operations or System Operations lead or Media Reconciliation
Direct managerial experience preferred - managed at least 1 (preferably 2-3) direct reports for a minimum of 1 year.
College educated preferred, but not required
Proficiency in making progress/completing work, even with overlapping deadlines
An individual who equally cares about his/her own career as well as the those they are managing
The ability to rock the Microsoft Office suite, particularly PPT and Excel (where filtering, pivoting, vlookups, and charts/graphs building are key)
Experienced in MediaTools, Prisma and MediaOcean
Quantitative and analytical skills, yet willingness to embrace a role that requires a mix of art and science.
Willingness to jump into a project independently to troubleshoot and determine efficient next steps to improve processes across all teams
Eager to be a leader when working with other agency teams
Experience developing and presenting your thoughts and ideas
Flexible and able to adapt to change in a fast-paced and constantly changing environment
Brave voices who will suggest new ideas and challenge the status quo but can also help carry out the smart ideas of others

Additional Information
Compensation Range: $91,000 - $144,000 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. For this role, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
