Job Description:
JOB SUMMARY
The Administrative Assistant/Scheduler assists Acute Care Nursing with daily administrative, project management, and supports the needs of the department Director. This individual is accountable for participating in quality improvement, problem solving, productivity enhancement, department meetings, and works cooperatively with MMC-BD team members to strive for process improvements and increased patient satisfaction throughout the entire organization.
ESSENTIAL JOB FUNCTIONS
Supports leadership in implementation of change to provide high quality cost effective care.
Coordinates Interdepartmental office paperwork for departments including, but not limited to, Inpatient Nursing, Quality, Surgical Services and Case Management.
Participates in quality improvement initiatives and responsible for coordinating logistics, attendance, and meeting agendas / minutes.
Provides full administrative and project support for the nursing departments and other departments as requested.
Maintains policies and procedures for the organizations to include maintaining the master electronic database, processing quarterly policy reviews and distributing to leaders, maintaining the electronic policy listing on the intranet, updating policies, and tracking and keeping master policy manuals current to ensure accuracy.
Maintains orders and forms for the organization including updating, assigning form numbers and ensuring bar coding are all on forms for Health Information Management.
Provides support for Process Improvement activities including data entry and support for the Improvement Events as requested.
Coordinates all supply ordering (general storeroom and special orders) ensuring the department maintains adequate supplies for work flow in nursing units and hospitalist work environments and notifies appropriate Director when equipment is in need of repair or replacement for each area.
Communicates regularly with clinical staff with any concerns, issues, needs and requirements happening in the department and the organization.
Coordinates staffing appropriately and fills opportunity shifts and works with Charge RN and Shift Administrators using acuity system to staff inpatient floor accordingly, issue stand-by call and fill opportunity shifts as necessary.
Creates and maintains schedules for reporting staff in various roles (RN, LPN, CNA, Unit Clerks).
Assist the department Director in analyzing Full Time Equivalency’s (FTE’s), open positions, recruitment, etc.
Coordinates distribution of multidisciplinary reports to designated areas.
Distributes mail to all departments maintaining mailboxes in the Nursing Administrative office area.
Serves as point person for policy retrieval through survey’s from CMS and/or Joint Commission.
Processes biweekly payrolls for multiple departments including Nursing Administration, Inpatient, Women’s Health, and back-up for other disciplines.
Perform orientation process for new employees within the department discussing payroll, scheduling, policies, vacation, etc.
Coordinates, schedules and tracks evaluations for the department. Schedule reconciliation
Maintains telephone procedures and evaluates needs of the department for devices and placement.
Maintains nursing master schedule book including types of department schedules for Inpatient areas.
Regular attendance is required in order to carry out the essential functions of the position.
Reviews and meets ongoing competency requirements of the role to maintain the skills, knowledge and abilities to perform, within scope, role specific functions.

EDUCATION
For positions requiring education beyond a high school diploma or equivalent, educational qualifications must be from an institution whose accreditation is recognized by the Council for Higher Education and Accreditation.
Minimum Required:
• High school diploma or equivalent and five years of secretarial experience.
Or
• Associates degree in secretarial science or related field and two years of secretarial experience.
Preferred/Optional: Associate degree.
EXPERIENCE
Minimum Required: None
Preferred/Optional: Medical office experience and/or medical focused advanced education.
