LOCATION/HOURS
This is a full-time, hybrid position based out of our New York City office. It is expected that some duties will be performed on-site at least 2-days a week, and some remotely, with the understanding that government and public health guidelines will help determine the extent to which it is safe to carry out in-person and onsite activities.
All candidates must be within commutable distance of SEO’s offices at 55 Exchange Place, New York, NY 10005, upon hire. Must be available to work evenings, weekends, and attend events in person as the program requires.
POSITION OVERVIEW
SEO (Sponsors for Educational Opportunity) seeks an innovative, self-driven, and detail-oriented coordinator of Events who is skilled in both virtual and in-person events to join the SEO Career Events team. This is an excellent opportunity for an outstanding event expert with 3+ years of events experience to join a dynamic organization.
This role will be a part of the events team, blending in-person and virtual experiences to create must-attend sessions/events for our students, partners, and constituents. The Event Coordinator will support the Assistant Director of Events in creating and managing virtual events, including but not limited to Partner Showcases and Career Fairs, one-day events, and multi-day conferences, including our Annual Hybrid SEO Career Summit. Your primary role will be to manage our Cvent platform, registration process, virtual event management, and general event support. If you are a self-starter with deep proficiency in Cvent and Zoom webinars, capable of managing several concurrent in-person and virtual events independently, and are energetic, outgoing, and passionate about events, read on.
What You'll Do:
Virtual Production
Work closely with Program leads and their team to secure all information for a successful event. Manage virtual events (typically managed through Cvent Zoom) technical requirements and interactivity: chat capabilities, polling, media sharing, online Q&A, breakouts, and surveys. Create run of show, prepare, and give instructions and tech support to presenters and attendees regarding virtual events. Coordinate with speakers/hosts to collect relevant promotional materials. Manage onboarding of event speakers, including a collection of assets (logos, bio, photos) and logistics communications. Create session documents and help run panel prep sessions as needed. Help manage agenda updates for run-of-show documents, website, and Cvent. Support speaker wrangling, session management, and production assistance onsite at events Registration Management and Communication
Customer service, clear and concise communication, and answering email inquiries about conferences and events. Manage event registration for events within Cvent. Creates the event registration shell within Cvent, including attendee types, event details, and confirmation email details. Manage onsite registration, including badge printing and onsite registration desk. Support operations team in pre/ post-event analytics of attendee data Manage event registration and pull reports to share with the team as needed. Event Coordination
Support virtual and live events management from inception to execution, including venue sourcing, contract negotiation, menu planning, onsite experience, and registration. Manage vendor negotiations and relations (A/V, decor, premiums) Manage & support the build of virtual event and streaming platform with production and operation teams. Work with the marketing team to produce signage and printed collateral for the event, including copy editing and proofreading.
QUALIFICATIONS
You have a bachelor’s degree or equivalent years of work experience. You have 3+ years of progressive experience in meeting/event planning and specific expertise in virtual & in-person events. You are passionate about coordinating impactful events that are highly organized and engaging. You are technically proficient in core workplace applications (like MS365, Zoom, Box, Monday.com), and you have a knack for CRM software. You are proficient in Cvent and well-versed in other customer relationship management (CRM) software; you must have deep experience utilizing webinar technology (Zoom) and event registration systems. You have a successful track record of managing vendor relationships and working with external stakeholders to coordinate events. You are a strong critical thinker who leverages your analytical skills to solve problems creatively. You are a skilled communicator with outstanding written and verbal communication skills. You must be comfortable addressing and engaging with different communities at various levels and through different mediums, including in-person, email, messaging platforms, and phone calls. You crush deadlines and know prioritizing and thinking ahead is pivotal to your event's success. You are exceptionally well organized and understand the importance of implementing systematic processes with a high degree of accuracy and urgency You are a strong team player with a positive mindset and a dynamic and professional personality. You hold yourself to a high level of accountability, value, integrity, transparency, and consistency. You are solution-focused and demonstrate initiative by identifying potential risks promptly.
