The Coordinator of the Board of Elementary and Secondary Education (Board) and External Partnerships will be responsible for coordinating and monitoring work projects in the Commissioner's Office in support of the Board of Elementary and Secondary Education and the Department's external partners.
The selected candidate will perform the following duties:
1. Coordinate Board Relations between Board Members, senior staff, stakeholders, and the public. Ensure that required materials are accurately prepared and distributed to members. Provide direct support to the Commissioner, Deputy Commissioner, Chief of Staff, and the Board during monthly Board meetings. Serve as liaison to the Office of Operations to ensure that all meeting logistics are effectively carried out. Coordinate the Board Advisory Councils to ensure that meeting agendas and minutes are posted, and annual reports are prepared.
2. Serve as primary content provider for the Commissioner's Office public webpage, Board webpage and other special sites as needed to support the priorities of the Commissioner.
3. Oversee the logging and response to all public record requests received by the Agency. Serve as primary contact for staff to support GOV QA (Agency public record tracking system).
4. Oversee Agency SharePoint page for internal communication and collaboration sites.
5. Provide direct support to the Director of Stakeholder Engagement in the implementation of tracking letters, email and phone communications that are received, coordinate and draft responses as appropriate and send responses.
6. Coordinate and track the final approval of ESE grants by the Governor's office. Draft grant press releases for approval by the ESE media coordinator.
7. Coordinate and track the final approval of ESE legislative reports by the Commissioner and Governor's office.
8. Perform other duties as assigned by the Commissioner and/or Chief of Staff.
Based on assignment, travel throughout the Commonwealth is required.
Preferred Qualification:
knowledge and understanding of the Board of Elementary and Secondary Education processes and procedures.
knowledge and understanding of the legislative process and the structure of Massachusetts government.
ability to communicate tactfully and effectively in writing and in oral expression.
knowledge of the principles, practices, and correct usage of the English language including grammar, spelling, sentence structure, and punctuation.
demonstrated experience to write concisely, express thoughts clearly, and develop ideas in logical sequence;
demonstrated experience to maintain an organized work environment while guaranteeing the highest level of quality in all work performed;
demonstrated experience organizing and maintaining Outlook calendar schedules for an executive or senior staff;
ability to adjust to changing situations and to meet emergency or changing program or production requirements;
ability to understand the provisions of the laws, rules, regulations, policies, procedures, specifications, standards, and guidelines governing the agency's operations and activities (Educational Reform Act of 1993);
willingness to work varied shifts and/or irregular hours as requested by the Commissioner;
ability to deal tactfully with others, establish rapport with high level people and manage matters that are confidential and/or time sensitive in nature; and
excellent communication skills.

This position is based at the Department of Elementary and Secondary Education in Everett.
Staff are currently operating within a hybrid model, telecommuting up to three days per week.
Qualifications
First consideration will be given to those applicants that apply within the first 14 days.
MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) four years of full-time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, and (B) of which at least one year must have been in a supervisory capacity, or (C) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required (A) experience.
II. A Graduate degree with a major in business administration, business management or public administration may be substituted for a maximum of three years of the required (A) experience.
III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required (A) experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: No substitutions will be permitted for the required (B) experience.
